Administration Fee

At the time of enrolment a charge of $25.00 (GST inclusive) per student per term will be applied.

Payment Policy

There are NO credits or refunds (unless specified) available at the Learning Centre.

All fees and charges are payable in advance of the commencement of tutoring. However, a payment plan can be organized through the Office Administrator for your convenience. A late fee will be incurred if full payment is not received by the end of the school term.

Credited accounts will carry over to the following term.

In 2024 we will be moving to a Pinch Pay System. A preapproval form will need to be completed before the student can commence.

Payments may still made by direct deposit to our nominated bank account, or by credit/debit card. If direct deposit is the chosen method, bank details will be provided on the invoice.

All receipts for card payments will be provided by email. A surcharge for payments made by debit/credit card of 2.0 % applies for eftpos payments made.

Late Fee

A $50 late fee will be incurred if fees are not received by end of term, unless a payment plan is organized and adhered to.

Missed Sessions

Students are expected to attend all lessons while they are enrolled. However, we understand that unavoidable circumstances may arise during the term. It is our policy to reschedule missed lessons. In this event you will need to contact the office administrator to coordinate another session.

  1. If the Learning Centre cancels a session, then this lesson will be rescheduled to another time during the school term. In the first instance, a locum tutor may be found. If this can’t be arranged, then a makeup lesson will be arranged to be taken on a Saturday, or in the first available holiday. The same tutor cannot be guaranteed in this instance.
  2. Where a student’s session is cancelled by the family, 48 hours prior, the session can be rescheduled using the Parent Portal or kept to be made up during the school holidays. The rescheduled lesson must be taken within during the term (including the school holidays).
  3. Where the student’s session is cancelled the day of the session, unfortunately, no refund will be given. This is due to, and in recognition of, the Fair Work Act and the necessity to keep tutors’ hours regular. In this instance, a Zoom session will be offered at the regular session time.
  4. Families cannot cancel more than two sessions a term and be credited. Unless notice is given of finalising tutoring. Then refer to the Cancelation and delinquent payments, paragraph.
  5. If the student fails to attend the scheduled make-up lesson, the lesson will be forfeited. Refunds will not be given in this instance.
  6. The tutor will not make up time for late arrivals.

* Please note: For extended periods of absence, we require confirmation in writing of dates that you will be absent sent to the Office Administrator. This is to ensure your account is adjusted accordingly. Please note, this will qualify as two allowable missed lessons. Please notify us at admin@canberraldc.com.au.

*In the instance where the tutor is unavailable for a makeup session, the child’s session will be conducted by another tutor and possibly over Zoom.

Cancellations and delinquent payments

The Learning Centre requires notification of two weeks prior to early cancellation of tutoring.

If a block-booking of tuition sessions has been made by you and you subsequently decide to terminate the arrangement prior to the first session being provided, a full refund of the advance payment will be made. If sessions within a block-booked series have already commenced, a refund of the remaining session minus two weeks will be given. Where the client has not given two weeks’ notice of finalising their tutoring, two weeks fees will still apply.

If a block-booking of tuition sessions has been made by you and we subsequently decide to terminate the arrangement, a full refund of the advance payment will be made for any sessions not provided, unless termination is due to unacceptable behaviour of the student

The Learning Centre reserves the right to pass any delinquent account onto a debt recovery agency. All accounts not paid in full 30 days after the completion of the term will be sent to a Debt Recovery Agency.

If the account is referred to a Debt Collection Agency then their fee will be added to the bill. In some cases this will be 35%.

Tutoring High School Students

The Learning Centre has a policy to teach our students the processes of good research and structured essay writing. Therefore, we cannot complete research for the student nor generate ideas or content for them.

Zoom

To ensure a smooth and successful zoom session, please set your child up on a laptop or tablet in an area free from noise. It is also useful if paper and pens or pencils are readily accessible. Please do not use a phone for zooming as the functions needed for a successful online session are too hard for a child to use.

For high school students; the camera function should be  on at all times. This is as much a safety feature as a tutor to student relationship necessity.

Behaviour

Students are expected to be well – behaved while in the Centre. No disrespect to other students or staff will be tolerated and may result in a student being asked to leave, (or sat out of the lesson) if poor behaviour continues. This ensures that all students at the Learning Centre feel safe, comfortable and happy.

Any damages caused by a student while in the Learning Centre will be paid by the student’s family.

Personal Information

Every family attending our Learning Centre is required to provide personal details for enrolment. This includes agreeing to our enrolment and account terms and conditions form. This information will be kept confidential and will not be passed onto any third parties.

Use and Disclosure of Personal Information

Student information provided is used for a variety of purposes including administration, surveys and promotional campaigns. All of these activities are conducted in house and will not be given to a third person unless required by law or the parent/ guardian has given the Learning Centre permission verbally or in writing.

The Learning Centre reserves the right to use these photos, names and results for promotional purposes unless otherwise informed in writing by the student or family.                  

Unless otherwise notified we will consider our client to be the one who pays the account (or listed on the enrolment form) and all information pertaining to the client’s child will be considered confidential. If information is requested by another party, permission will be sought from the client before and any details or information is given.

Confidentiality

Any assessment report, screening test and associated information is confidential, and copies will be made available solely to the client booking the service unless written consent is received requesting permission to a third party (e.g. school, college etc.). Similarly, we will not discuss with a third party any aspect of services we provide or have provided to a student without the express written permission of the client.

Right to Amend

We reserve the right at all times to vary, change, alter, amend, add to or remove any of these Terms and Conditions within our Administration Policy.

Please ensure that you review these Terms and Conditions each time you book a service from us as, by confirming your enrolment, you will be deemed to have accepted the Terms and Conditions prevailing at the date of booking.
